Plan Your Visit Page
Your Plan Your Visit page is a public, church-branded page where someone can pick the service they intend to come to and tell you they are coming. It is the page to point Facebook and Google ads at, print on a postcard, or link from your website.
The important difference from a normal form: guests pick a real service time generated from your service schedule, not a free-text date. That means Passport knows exactly which service they planned for, can remind them beforehand, and can tell afterwards whether they actually came.
What you need
- Admin access in Passport
- At least one service time set up under Admin → Settings → Services
- Texting switched on if you want guests to get a confirmation (Admin → Settings → Communications)
:::note Automated messages need Plus Every church has a Visit Page and can collect planned visits. Automated texts and emails to guests require a Plus or Pro plan. On the Basic (GoReach) plan, every planned visit still appears in your Guests list and still creates a follow-up task for your team — the reminders just are not sent for you. :::
Open the Visit Page editor
Admin → Settings → Visit Page.
Everything guest-related is configured from Settings, on its own tab: Visit Page, Guest Journeys, Guest Guardrails and Ad Platforms. The Guests area itself is for working the people who arrive, not for configuring how they get there.
Your page already exists and is already live. Passport builds it from your church name, your address, and your main service times, so the first time you open the editor you are editing a working page rather than building one from nothing.
Choose your link
Your page lives at /visit/your-link. Keep it short and easy to say out loud, because it goes on printed cards and gets typed by hand.
| Good | Why |
|---|---|
graceriver | Short, matches how people say the church's name |
firstbaptistspringfield | Longer, but unambiguous |
fbc-spr-2026-visit | Avoid — hard to say and dated |
Passport tells you immediately if a link is already taken.
Fill in what guests actually ask
Every block is optional, but these four answer the questions that stop people coming:
- What to expect — how long, what happens, whether anyone will single them out
- Kids — where children go, and what happens at drop-off
- Parking — where to park and which door to walk in
- What to wear — usually one line, and usually reassuring
Write them the way you would say them to a nervous friend. Guests read this page on a phone, once.
Add a welcome from your pastor
A thirty-second video filmed on a phone converts better than a polished one. Paste a YouTube, Vimeo or Loom link and the page shows it under a "watch a welcome" card.
Passport links to your video, it does not host it. Make sure the link is public or unlisted, not private.
The same link fills {{pastorVideoUrl}} in Guest Journeys — including the optional Pastor welcome video text before a planned visit. That step stays off until you have a video here; once the link is set, turn the step on under Settings → Guest Journeys.
Your link
Your page is live from the day your church is created — there is nothing to publish. Passport gives you a link based on your church's name, like yourchurch.passport.church/visit/graceriver.
That link is also your connection card address (/welcome/graceriver), so there is only ever one to remember, print, or read out from the front.
Changing it
Edit the Link field and save. Passport tells you straight away whether the one you want is free — a link is first-come, and a few words are reserved because they would clash with Passport's own pages.
:::warning Changing it breaks what is already printed Anything already carrying the old link — QR codes on cards, an ad that is running, a bulletin from last month — stops working the moment you save. Worth doing early, and worth thinking twice about later. :::
Use Copy link to grab the URL.
Use the right link for each place you share it
Under Share it you will find a ready-made link for each channel: Facebook and Instagram ads, Google Ads, your newsletter, printed QR codes, and your website.
Use the matching one. They look almost identical, but each carries a tag that lets the Guests report tell you which channel actually produced people who showed up — not just who clicked.
:::tip Do not edit the tags by hand Just copy the link as given. Ad platforms add their own tracking to the end of the URL when someone clicks; hand-editing can break the connection between an ad and the guest it produced. :::
Three other places someone can plan a visit
The page is the main one, but the same service times — and the same result — appear in three other places, so a guest is never asked to go and find your link:
At the end of setup. The last step of the setup wizard shows your Visit Page link and a QR code you can download and print immediately.
On a prospect's own card. When your team hands out a prospect card, the person who scans it sees "When would you like to come?" with your real service times at the top of their options — above prayer, help and a ride. Picking one creates exactly the same planned visit as the Visit Page does.
By text. Someone who texts VISIT to your church number is sent your Visit Page link — useful on a banner or a bulletin, because somebody can act on it at a traffic light. Two limits: it only works for a phone number you already have a record of (most churches share one texting number, so a complete stranger's text cannot be routed to the right church), and the automatic reply requires Plus or Pro.
Whichever route they take, they land in the same list, on the same Sunday, with the same reminders. The only difference is the source on their record — which is what lets the Insights tab tell you whether your cards, your ads or your page are actually producing the people who show up.
What happens when someone plans a visit
- They appear in People → Visitors as a prospect — not a visitor, because they have not been yet.
- They get a confirmation text naming the exact service they picked (Plus and Pro).
- Your team gets a follow-up task to welcome them personally before they arrive.
- They get a reminder the day before and the morning of (Plus and Pro).
- When they arrive and you record attendance, they are promoted to visitor automatically and the pre-visit reminders stop.
Test it before you point anything at it
Open your own page on a phone, not on the desktop you built it on — that is the device every guest will use.
Check three things: that a service date actually appears (an empty date list means every upcoming occurrence is cancelled or already started), that the pastor's welcome video plays for somebody who is not signed in to anything, and that the address is right enough to navigate to.
Then plan a visit yourself. You will get the confirmation your guests get, and you will show up in People → Visitors as a planned visit, which is the fastest way to see what your team sees. Delete yourself afterwards, or leave it — one test guest in the list on a Sunday costs nothing.
:::note The test does not create a fake guest for anyone else Your planned visit is a real record on your own church. It does not send anything to anybody but you. :::
Consent
The tick box beside the phone field is fixed wording, and Passport records which version of that wording each guest agreed to, along with when. You cannot edit it — that record is what protects your church if anyone ever questions whether they opted in.
Troubleshooting
| What you see | What it means |
|---|---|
| "Add at least one main service time" | Passport has no services at all. Add one under Admin → Settings → Services, and tick Main service. |
| "Mark one of your service times as the main service" | You have service times, but none is marked as the main one — which is what the page offers guests. Edit a service under Admin → Settings → Services and tick Main service. |
| No dates shown on the live page | Every upcoming occurrence is either cancelled or already started. Check cancelled dates on your services. |
| "You're on a trial…" warning | Trials include 10 texts in total. Start a paid plan before pointing paid ads at the page, or guests will stop getting confirmations partway through a campaign. |
| "Texting is switched off" | Guests will not get a confirmation. Turn texting on under Admin → Settings → Communications. |
| Guests plan visits but get no texts | Automated messaging is a Plus feature. Check your plan under Admin → Settings → Plan & Billing. |
Next steps
- Hand it out in person — Prospect Cards put the same page behind a printed QR code.
- Run an event first — Community Events give a BBQ or a giveaway its own registration page, and invite everybody who comes to a service afterwards.
- See who is coming — Planned visits land in the Guests hub.
- Follow up automatically — Guest Journeys handles the reminder and the thank-you.
