Analytics Dashboard
The Analytics Dashboard gives you a real-time view of your church's health — attendance trends, first-time guest counts, group activity, ministry engagement, and more. Everything on one screen so you can spot what's working and where to focus.
To open the dashboard, select Analytics in the main navigation.
Church Growth Advisor
At the top of the dashboard you may see a Church Growth Advisor banner. This shows personalized, data-driven suggestions — for example, flagging guests who haven't been followed up with, or pointing out that a group hasn't had activity in several weeks.
Each recommendation includes:
- A short description of the pattern Passport detected.
- A priority level (Critical, High, Medium, or Low).
- One or more signal tags with the supporting data.
To act on a recommendation: Read it, take the suggested action in the relevant part of Passport (such as following up with a guest), then click Got it to mark it acknowledged. If a recommendation isn't relevant, click Dismiss to remove it.
When there are multiple recommendations, use the arrows to page through them.
Key Metrics Bar
Below the advisor banner, four summary cards give you your most important numbers at a glance:
| Card | What it shows |
|---|---|
| Weekly Attendance | Total check-ins for the current week, with a percentage change vs. the prior period |
| First-Time Visitors | New guests recorded this period |
| Retention Rate | Percentage of people who returned after their first visit |
| Engagement | Percentage of your congregation that took at least one active step (portal login, group join, class enrollment, etc.) |
An upward arrow in green means the number improved compared to the prior period. A downward arrow in red means it declined.
Changing the Time Range
Most charts on the dashboard share a single time-range filter. Use the toggle near the top of the page to switch between:
- This Week
- Last 4 Weeks
- Last 90 Days
- YTD (year to date)
Changing the time range updates Attendance, Engagement, Group Health, and Ministry Pipeline at the same time.
Attendance Trend
The Attendance Trend chart shows two lines across your chosen time range:
- Returning attendance (blue bars) — people who have visited before.
- First-time visitors (green line) — new guests each period.
Use this chart to spot seasonal patterns, see whether guest counts are growing, and check whether first-time visitors are translating into returning attendees over time.
Engagement Trend
The Engagement Trend chart tracks five types of participation over time:
- Check-ins
- Portal logins
- New group members
- Class enrollments
- Serving interest
On desktop, each activity appears as its own line so you can compare them. On mobile, the chart displays as a stacked bar.
This chart is useful for understanding which engagement pathways are being used most and whether overall participation is growing, plateauing, or declining.
Group Health
The Group Health section gives you a quick status check on every group in your church.
Summary pills at the top show:
- Total Groups
- Active (recent activity)
- Low (some activity, but declining)
- Inactive (no recent activity)
- Average group size
The table below lists every group with:
| Column | What it shows |
|---|---|
| Group Name | The group's name |
| Type | Group category (Life Group, Class, etc.) |
| Members | Current member count |
| Last Active | Date of the most recent recorded activity |
| Status | Active (green), Low (yellow), or Inactive (gray) |
Groups marked Low or Inactive may need a check-in from a leader or pastor. Consider reaching out to see if the group needs support.
Ministry Pipeline
The Ministry Pipeline tracks how people move from expressing an interest in serving to an active ministry placement.
The four stages are:
- In Pipeline — Everyone who has expressed interest in serving.
- Awaiting Match — Interested people not yet assigned to a ministry.
- Assigned — People actively serving in a ministry.
- Ministries Staffed — Ministries that have reached their staffing goal.
Conversion percentages between stages show you where people are moving through — or where they're getting stuck. A large gap between In Pipeline and Awaiting Match suggests your team needs to follow up with interested volunteers.
Below the funnel, a per-ministry table shows each ministry's interested vs. assigned counts as a stacked bar, so you can see which ministries have a healthy pipeline and which are understaffed.
Pathway Breakdown
The Pathway Breakdown cards show how active visitors are progressing through each of your church's three pillars:
- Connect — Relationship and community steps.
- Grow — Discipleship and learning steps.
- Serve — Volunteer and ministry steps.
Each card shows:
- The number of active visitors in that pathway.
- Completions recorded in the last 30 days.
Use these cards alongside the Growth Pipeline Report to see whether guests are being guided through all three pillars or concentrating in just one.
Spiritual Decisions
The Spiritual Decisions chart tracks two milestone events over time:
- Baptisms
- Holy Ghost infillings
Each period is shown as a stacked bar. This chart helps you see whether decision activity is growing, whether it correlates with outreach efforts, and how it compares across seasons.
Decisions appear on the person's profile under People, and in the Altar Call Log. See Service Decisions for more.
Referral Sources
The Referral Sources chart shows how your visitors heard about your church, based on what they reported on their connection card. Sources include:
- Door Hanger
- Direct Mailer
- Friend Invite
- Signs
- Other
Only sources with at least one response appear on the chart. Use this to evaluate which outreach methods are driving new guests.
Data Exports
At the bottom of the dashboard, you can download CSV files for offline analysis or reporting:
| Export | What it includes |
|---|---|
| Visitors CSV | All visitor records |
| Attendance CSV | Attendance records across all services |
| Attendance by Service CSV | Attendance broken down per service |
| Journey CSV | Visitor-member pathway progression data |
| Group Roster CSV | All group memberships |
| Ministry Roster CSV | Ministry assignments and serving interest |
Click any export button to download the file immediately. No additional configuration is needed.
Tips
- New churches may see limited data until several weeks of attendance have been recorded. Charts will fill in over time.
- Data on this dashboard reflects attendance and activity recorded in Passport. If you notice numbers that seem off, check that attendance was taken and that visitor cards were entered correctly.
- The dashboard is view-only. To change data, go to the relevant section of Passport (People, Groups, GoReach, etc.).
Next steps
- Follow one cohort — The Growth Pipeline Report tracks a month's guests over time.
- Judge your routes in — Guest Funnel shows which source produces members.
- Fix thin data — Most gaps here are attendance not being recorded.
