Growth Pipeline Report

The Growth Pipeline Report shows how people are moving through your church — from first contact as a prospect all the way to becoming a member. It gives you a month-by-month picture so you can see whether your pipeline is growing and identify which stage people are leaving before they fully connect.

To view this report, select Analytics in the main navigation and look for the Retention Cohorts and Engagement Trend sections.


Understanding the Pipeline

This report follows the person type ladder — Prospect, Visitor, Attendee, Member — which is defined in the Glossary.

These are the same four types you configure in the Visitor-Member Path. As people meet the criteria you set, Passport advances them.

:::note This is not the Pipeline board The Guests hub also has a tab called Pipeline, and it shows a different set of stages — Invited through Connected. That one is a live view of guests in progress; this report is a history of the membership ladder. They will not agree, and are not meant to. Stages, pipelines and funnels sets the two side by side. :::


Retention Cohorts Table

The Retention Cohorts table is the heart of the growth pipeline report. It organizes people by when they were added and shows where they stand today.

How to read the table

  • Each row is a cohort — a group of people who entered the pipeline in a specific month.
  • Each column is a stage — Prospect, Visitor, Attendee, Member.
  • Each cell shows a count and a progress bar indicating that stage's share of the cohort.

Example: If the January cohort row shows 40 Visitors and 12 Attendees, that means 40 people visited for the first time in January, and 12 of them have since been marked as Attendees.

What to look for

  • A healthy pipeline shows people moving right — from Prospect to Visitor to Attendee to Member over several months.
  • Cohorts stuck in Visitor may indicate the visitor follow-up process needs attention. Check whether prospect follow-up tasks are being completed.
  • Shrinking cohort sizes over recent months may signal a slowdown in outreach or a dip in first-time guest counts. Cross-check with the Attendance Trend chart on the Analytics Dashboard.

Colors

The table uses color to distinguish stages at a glance:

  • Gray shading — Prospects and Visitors (early pipeline)
  • Sky blue — Attendees
  • Green — Members

Engagement Trend

Below the cohort table, the Engagement Trend chart shows five types of participation over time:

  • Check-ins — Service attendance
  • Portal Logins — People accessing their member portal
  • New Group Members — People joining a group
  • Class Enrollments — People registering for a class
  • Serving Interest — People who expressed interest in volunteering

Each activity appears as its own line (or stacked bar on mobile). Tracking engagement alongside pipeline stages helps answer a deeper question: Are people in later stages actually staying engaged, or are they drifting away after reaching Member?


Using the Reports Together

For the most complete picture:

  1. Start with the Retention Cohorts table — Find which cohort months have the most people still in early stages (Prospect or Visitor).
  2. Check the Attendance Trend on the Analytics Dashboard to see if overall guest traffic explains the pattern.
  3. Review the Engagement Trend to see whether participation types are declining in specific areas.
  4. Act in GoReach — If prospects aren't converting to visitors, use Prospect Follow-Ups to assign and track outreach tasks.
  5. Act in People — If visitors aren't advancing, check whether their Visitor-Member Path steps are being marked complete.

Frequently Asked Questions

Why does a cohort show zero members even though we have members in Passport? The cohort table reflects when people were first added to the pipeline, not their current join date. If members were added before you started using Passport's visitor-member path, they may appear in earlier cohorts or may not have a stage assigned yet. You can update a person's stage manually in their profile.

What time range does the cohort table cover? The cohort table shows recent months and updates as new data is recorded. Use the time-range toggle on the Analytics Dashboard to adjust related charts.

Can I export this data? Yes. Use the Journey CSV export at the bottom of the Analytics Dashboard to download pipeline progression data for all people.
