Acceptance of Terms
By accessing and using Passport, the church management and visitor retention platform, you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to abide by these terms, please do not use this service.
About Passport
Passport is a multi-tenant church management and visitor retention platform. Churches use Passport to manage their congregations, register visitors, track attendance, facilitate follow-up communications, and improve visitor retention. Passport serves as the technology platform connecting churches with their visitors and members.
Platform Use and Visitor Registration
Churches using Passport may collect visitor information during check-in or registration. Providing a first name, last name and phone number is typically required for visitor registration, while sharing email address is optional. Providing an email address during registration serves as an explicit opt-in for receiving email communications from that church via the Passport platform.
By using Passport or providing your information to a church through Passport, you agree to:
- Provide accurate information to the best of your knowledge
- Respect the privacy and data practices described in our Privacy Policy
- Understand that churches may use your information for follow-up and ministry purposes
- Contact the church directly regarding their specific communications and practices
SMS Text Messaging Disclosure
Opt-In Consent
By providing your mobile phone number when registering as a visitor/member or checking in at a church using Passport, you are explicitly opting in to receive SMS text messages from that church via the Passport platform. This opt-in is voluntary and not required for registration.
Message Types
Passport may send account-related SMS messages when you have a platform account. If you provide your mobile phone number when registering as a visitor/member or checking in at a church using Passport, you may also receive the following types of SMS text messages from that church via the Passport platform:
- Account Notifications: Login alerts, password reset confirmations, security alerts, and account activity notifications
- 2FA/OTP Codes: Two-factor authentication and one-time password codes for secure account access
- Customer Care: Thank-you messages, service reminders, and follow-up communications
- Public Service Announcements: Schedule reminders, location updates, and program information
- Marketing: Promotional messages regarding church fundraisers, invitations to church events, revivals, group/ministry opportunities, incentives, engagement promotions
Message Frequency and Rates
Message frequency may vary based on the church's communication practices, your participation, and the communications you have opted in to receive.
Message and data rates may apply. Standard messaging rates from your mobile carrier will apply to any SMS messages you receive.
Opt-Out Instructions
You can manage your SMS preferences in your profile section at the bottom of your portal. You may also text STOP to opt out of receiving church-related SMS messages. Account notifications and 2FA/OTP codes are transactional and cannot be opted out of, as they are required for account security.
Help and Support
If you need help with SMS messages, please reply HELP to any message you receive from us.
Privacy and Third Parties
Your mobile phone number will not be shared with third parties for marketing purposes. For more information about how we protect your privacy, please review our Privacy Policy.
User Conduct
You agree to use our services only for lawful purposes and in accordance with these terms. You agree not to:
- Use our services in any way that violates applicable laws or regulations
- Transmit any harmful, threatening, abusive, or harassing content
- Impersonate any person or entity or misrepresent your affiliation
- Interfere with or disrupt our services or servers
- Attempt to gain unauthorized access to any part of our services
Intellectual Property
All content, trademarks, and other intellectual property on the Passport platform are owned by Passport or our licensors. You may not use, reproduce, or distribute any content without our written permission.
Data Ownership
Churches retain full ownership of all congregation data entered into Passport, including member records, visitor information, attendance data, and financial giving records. Passport acts as a data processor on behalf of each church and does not claim ownership of church congregation data.
Customer Data, End-User Information, and Ownership
Customer data. Each church or organization that subscribes to Passport (a "Customer") retains all right, title, and interest in the data its authorized users submit to the Service about their ministry, congregation, visitors, and donors ("Customer Data"). Passport does not sell Customer Data. Subject to the Privacy Policy and applicable agreements, Passport processes Customer Data only to provide, secure, support, and improve the Service.
License to Passport. Customer grants Passport a worldwide, non-exclusive, royalty-free license to host, copy, transmit, display, and otherwise process Customer Data solely as necessary to provide the Service and as described in our policies and order terms. This license ends when Customer Data is deleted in accordance with the Service functionality and our retention practices, except for copies retained as required by law or legitimate backup/archival processes.
Passport platform. The software, user interfaces, documentation, and Passport branding (collectively, "Passport IP") are owned by Passport or its licensors. Except for the limited right to use the Service in accordance with these Terms, no rights in Passport IP are granted to you.
Visitors, members, and donors. If you interact with a church through Passport, you understand that the church may determine what information is collected and how it is used for ministry purposes, and that Passport typically acts as a service provider processing information on the church's instructions for those records.
Feedback. If you provide suggestions, ideas, or feedback about the Service, you grant Passport a perpetual, irrevocable, worldwide, royalty-free license to use and incorporate that feedback without obligation or compensation to you, to the extent permitted by law.
Aggregated and de-identified data. Passport may create and use aggregated or de-identified information that does not identify any individual or Customer, and may use and disclose such information for any lawful purpose, including analytics, benchmarking, and product improvement.
Church Tenants and Third-Party Services
Passport is a multi-tenant platform. Each church using Passport operates as an independent organization. Donations, financial transactions, and other church-specific activities are between you and the church. Passport facilitates the platform technology but is not responsible for individual church practices, tax implications of donations to churches, or church-specific policies.
Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. PASSPORT DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE.
Limitation of Liability
To the maximum extent permitted by law, Passport shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or other intangible losses, resulting from your use of our platform or services provided by churches using Passport.
Indemnification
You agree to indemnify and hold harmless Passport from any claims, damages, or expenses arising from your use of our platform or violation of these terms.
Modifications to Terms
We reserve the right to modify these terms at any time. We will notify users of any material changes by posting the updated terms on our website. Your continued use of our services after such modifications constitutes acceptance of the updated terms.
Subscription and Billing
Passport is offered on a subscription basis. Pricing, billing cycles, and payment terms are as described at the time of account creation. We reserve the right to update pricing with 30 days notice to existing subscribers.
Messaging Usage Charges
Text messaging and email are billed separately from and in addition to your subscription, based on the volume you actually send and receive. Current rates are published at passport.church/pricing and are shown in your account under Settings → Messaging & Usage.
What Is Charged
Charges apply to outgoing and incoming text messages (SMS and MMS) and to outgoing email sent on your church's behalf. Messages that Passport sends to you or your congregation on its own behalf — including login codes, password resets, account and billing notices — are not charged to your church.
How Messages Are Counted
Text messages are billed per segment, not per message, consistent with how mobile carriers bill Passport. A standard message contains up to 160 characters in a single segment. Longer messages are divided into multiple segments and each segment is billed. Messages containing emoji, accented characters, or certain punctuation copied from word processors use a different encoding in which a segment holds fewer characters, and therefore may use more segments than their length alone would suggest. Your message composer displays the segment count before you send.
Compliance text required by carrier regulations and Passport's sender identification are included in the message body and count toward its length.
Dedicated Phone Numbers
Passport's shared messaging number is included with every plan at no additional charge. If your church elects to use a dedicated phone number, a monthly fee applies as published on our pricing page, prorated for the number of days the number is held. The fee begins when the number is acquired on your behalf, including any period during which carrier registration is still pending.
Payment Authorization
To enable messaging, you must authorize a valid payment method for usage charges. Because usage varies month to month, you authorize Passport to charge that payment method for a variable amount each billing period, without further authorization for each charge. You are responsible for keeping a current, valid payment method on file.
Usage charges are billed monthly in arrears for the preceding period. Where a period's balance falls below our minimum billing amount, it may be carried forward and included in a later invoice rather than billed separately.
Waived Subscriptions
Where Passport waives or discounts your subscription fee, that arrangement applies to the subscription only. Messaging usage charges remain payable and a valid payment method is still required, unless Passport separately and expressly waives usage charges in writing.
Non-Payment
If a usage charge cannot be collected, we will notify your administrators by email. If the balance remains unpaid after the grace period stated in that notice, outgoing text messages and bulk email for your church will be paused until the balance is settled.
During such a pause: incoming messages continue to be received and remain chargeable; transactional messages such as giving statements and class confirmations continue to be sent; and account, security, and billing messages from Passport are unaffected. No data is deleted, and messaging resumes once payment is received. This section is in addition to, and does not limit, Passport's rights under Account Suspension and Termination.
Rate Changes, Records, and Disputes
We reserve the right to update usage rates with 30 days notice to existing subscribers, consistent with the Subscription and Billing section above. Rates are exclusive of any taxes or carrier surcharges that may be imposed on messaging traffic.
Passport maintains a per-message record of the usage billed to your account, available to you in your account. If you believe a charge is incorrect, contact us at the address below within 60 days of the invoice date and we will review the underlying records with you.
Background Check Charges
Where background checks are enabled for your church, background checks are ordered individually and priced per check. The price for each level of check is displayed in your account before you place an order, and is a flat amount covering the screening provider's fee, any court or database access fees, and payment processing.
Authorizing Background Check Charges
Background checks are charged to the same payment method you have authorized for usage-based charges. This authorization is separate from and in addition to the monthly-in-arrears authorization described above for messaging usage: by ordering a background check you authorize Passport to charge that payment method for the amount displayed at the time of that order.
When the Charge Is Made
You are charged when the individual completes the screening provider's questionnaire, not when the invitation is sent. If they do not complete it, the invitation expires and no charge is made. Once the check has been submitted to the provider it cannot be canceled or refunded, including where the result is not what your church expected. Where Passport is unable to submit an order, no charge is made; where a charge has been made and the order was not submitted, it is refunded in full.
Consumer Reports
Background checks are consumer reports produced by a third-party consumer reporting agency and are subject to the Fair Credit Reporting Act and applicable state law. Your church is the end user of those reports and is responsible for obtaining the individual's authorization, for following the adverse action process before declining anyone on the basis of a report, and for the use, storage and disposal of report contents. Your church is credentialed with the provider in its own right.
The individual enters their own date of birth and Social Security number directly with the provider. Passport does not store those details and does not store the contents of any report; report access is provided through the provider's own systems.
Records, Disputes and Rate Changes
Passport maintains a record of each order and the price charged, available to you in your account, and background check charges are invoiced separately from messaging usage. Disputes about a charge follow the timeframe stated in the Messaging Usage Charges section above. Disputes about the contents of a report are between the individual and the consumer reporting agency; Passport cannot amend them.
Provider pricing may change. The price shown at the time of each order is the price charged, and no charge occurs without a price being displayed first.
Cancellation and Data Export
You may cancel your Passport subscription at any time. Upon cancellation, you may export all your church's data within 30 days using the data export feature. After 30 days from cancellation date, all church data is permanently deleted from our systems.
Account Suspension and Termination by Passport
Passport reserves the right to suspend or terminate your account and access to the Service, with or without notice, for conduct that Passport determines (in its sole discretion) violates these Terms, is harmful to other users, Passport, or third parties, or for any other reason. Upon termination for cause, your right to export data under the Cancellation section may be limited or forfeited.
Governing Law
These terms shall be governed by the laws of the State of Florida, United States, without regard to conflict of law principles.
