Passport glossary

Passport uses a small number of words very precisely, and most confusion about the product is really confusion about one of them. Each is defined once here, and links to the documentation page that owns it.

People

Guest

Anybody your church has met and has not yet connected. It spans both Prospects and Visitors, and it ends the moment somebody joins a group, a class or a ministry.

Prospect

Someone your team has met who has not yet attended a church service. Somebody who came to a community event or planned a visit they have not kept is still a Prospect.

Visitor

Someone whose attendance at a church service has been recorded at least once. Groups, classes and community events never make somebody a Visitor — only a service does.

Attendee

A Visitor who has been present for a number of distinct weeks your church sets, counting services, small groups and class sessions alike. Off by default.

Member

Someone who has met every membership criterion your church configured — attendance weeks plus whichever of baptism, Holy Ghost infilling, a signed agreement and required classes you require.

Guest stage

The stage Passport works out for itself from attendance, visit plans and connections — Invited, Coming, First visit, Came back, Connected. Nobody sets it by hand.

Getting guests in

Plan Your Visit

Your church’s public page where a guest picks a real upcoming service and tells you they are coming. Every church has exactly one, live from day one — there is no draft or publish step.

Visitor Connection Card

A QR code on seat backs, the welcome desk or the bulletin that opens a short form on the guest’s own phone. Plan Your Visit catches people before Sunday; this catches them on it.

Guests hub

Care assignment

A follow-up task owned by a named person. Passport creates one automatically when a first-time visitor is recorded, and it runs even on Basic, where the automated texts do not.

Measuring

Guest Funnel

The three surfaces over everybody who entered as a live guest: the Pipeline board, the Needs attention queue, and Insights — where guests came from and what a first visit cost.

Engagement score

A number from 0 to 100 on every person, from how recently they were here, how often they have been, and whether they are connected. A fixed formula — not a prediction, and not AI.

At-risk alerts

Passport flags somebody whose absence is long relative to their own history, not against a fixed number of weeks. Staff see a phrase — “overdue”, “needs a check-in” — never a score.

Growth Pipeline Report

Groups people by the month they arrived and shows how far up the ladder each group has travelled. It answers a different question from the Pipeline board, and the two are not meant to agree.
